As a crucial member of our Accounting Operations team, the analyst will play a pivotal role in performing accounting, operational and financial close related activities including interacting with global partners. Apprentice can also expect to:

  • ​​Accounting Operations table-stakes  
    • Perform accounting, operational and financial close related activities requiring an understanding of general accounting principles and may include but are not limited to preparing journal entries, checking supporting entries, daily accounts payable balancing, account reconciliations, and/or account reporting analysis. 
    • Foster a collaborative and transparent team culture by promoting open communication and information sharing 
  • ​Special Projects 
    • Assist in current finance special projects, such as financial system testing efforts, compliance audits both internal and external, and new technology initiatives.  
    • Actively participate in the build out of the Center of Excellence for bank and other ledger account reconciliations  
  • Continuous Improvement 
    • Actively participate in continuous improvement initiatives to enhance team efficiency and delivery capabilities. 
    • Identify and address impediments to the team’s progress and collaborate with stakeholders to implement effective solutions. 

Qualifications and Requirements:

  • Basic understanding of accounting principles
  • Have at least one academic year left at City Colleges of Chicago
  • Earn passing grades (of a C or higher) in coursework
  • Analytical, problem solving and communication skills
  • Knowledge of Microsoft tools (e.g., Excel)  
  • Ability to work collaboratively in a team-oriented environment

Review and/or process requests from university units to create new subprojects for established awards. Complete systematic maintenance of aging and problematic award records through their resolution. Ensure award actions remain compliant with university, sponsor, and regulatory guidelines (e.g., Uniform Guidance, Federal Acquisition Regulations). Review for accuracy and completeness technical/programmatic Research Performance Progress Reports for grants made by the National Institutes of Health.

Risk Assessment 

  • Gathers and reviews information for subrecipient risk assessment using appropriate resources that house such information; creates, updates the central risk assessment folders accordingly to support subcontracting to wide range of subrecipient entities (IHE, other non-profit/non-IHE, for-profit, and non-US) for subcontracts funded by a wide range of federal, industry, foundation, private, government and other sponsors.
  • Develops productive working relationships with Northwestern research administrators, Investigators, researchers, internal staff, and external subrecipient entity administrators to facilitate subrecipient risk assessment to ensure compliance with university and sponsor policies and procedures, as well as those of subcontracting/collaborating institutions and partners.

Other 

  • Interprets and articulates institutional and sponsor policies and procedures to ensure compliance. Proactively keeps Subcontracts Management team apprised of changes in policies and regulations of federal and non-federal grantor agencies. Join our 12-24 month Apprenticeship Program where you will receive on-the-job training, career guidance, and one-on-one mentorship – all while attending school! As a Treasury Associate Apprentice, You Will Be Responsible For:

  • Consolidating and entering wires in the Treasury workstation with a proper degree of timeliness and accuracy to allow the short-term traders to make investment decisions.
  • Prepare wire activity reports and analysis to optimize wire activity and cash flow activity
  • Displays sound administration skills including documentation, follow up and adherence to established guidelines.
  • Capable of performing mission critical related tasks during business resumption events.
  • Provide optimal customer support to internal clients, colleagues and external financial service partners
  • Assisting with team projects
  • Implementing process improvements
  • Other miscellaneous responsibilities and projects

ROLE SUMMARY:

The Control Data Team of our Operations Department is essential to accurate maintenance, oversight and integrity of firmwide client, product, and street data.  The Control Data Apprentice will be involved with data entry alongside the improvement and streamlining of tasks. Responsibilities include ensuring the accuracy and timeliness of updated data, and  providing accurate data services for stakeholders and clients. All tasks that are essential to the operations of the business.

RESPONSIBILITIES:

·       Manages data input obligations with precision and awareness, working with the business to a substantial degree; protecting the firm from exposure to operational and reputational risk.

·       Prioritizes and independently completes product, client, and street data tasks to ensure proper flow through downstream systems and processes.

·       Collaborates with other teams and departments to examine root cause and resolve data inaccuracies while being mindful of the impact on the firm as well as its clients.

·      Understands the local and global data environments and partners with local and global data managers as data stewards.

·       Assesses current state and organizes workload to ensure all high risk functions are completed at the appropriate level of focus and attention to details. Pivots when necessary to ensure meeting of key deliverables. Manages within tight timeframes

·       Applies a conservative risk approach and exhibits an awareness of the operational risk framework

·       Exercises independent judgement and discretion to identify and resolve issues in advance of task deadlines,  and escalates issues as appropriate.

·       Uses independent judgment and discretion to identify system irregularities and provide prompt notification to appropriate parties. Failure to communicate anomalies could result in significant cost/risk exposure due to unexpected client impact or late reporting in a ‘zero tolerance’ regulatory environment

·       Responsible for data integrity including knowledge of source, components and downstream impact

·       Is a problem solver, takes ownership of issue resolution when automated processes fail and conducts subsequent root cause analysis to improve daily processing
